Importing Devices

Rather than adding all your devices one by one, you can import up to 2000 devices in one go by using the Import Wizard. All you need is a CSV or Excel file, containing the following required information:

• The device type
• A device description

Additionally, there are some optional attributes you can specify:

• The serial number
• The device model
• The device manufacturer
• The make of the device
• The barcode
• The location

It is important that you set up your import document correctly, as this will make the actual import process super quick and simple. We have outlined the necessary steps below:

1. First, you have to decide where to import your devices. For each of our supported systems, we have put together a list of supported device types, which you can use as a reference and which indicate, where to add them.
    
2. The second step is to populate your import file with your device data. We provide a great template, which you can find in the ‘Preparing the Import Document‘ section and we strongly recommend using it!
    
3. Finally, the third and last step is to upload your import document to Xaap!

Deciding Where to Import

Depending on the device type you want to import, as well as the inspection type you want to perform, some devices need to be added to the building directly and some to a parent device, for example a Panel.

Outlined below are the various types of systems we support and which inspection types can be used to inspect them.

Preparing the Import Document

Once you have decided where to import your devices, you can prepare your import document(s). As previously mentioned, we recommend that you download our device import template.

The import template is an Excel file containing all the necessary columns you need for importing any of our supported device types. These will map automatically to the device attributes in Xaap during the import process. If you are unsure about a column, you can hover over the title to display our notes and suggestions.

You can use one document per import, ie. prepare one CSV or Excel file containing all your panel devices and a second file containing all the devices you want to add to the building directly.

Alternatively, you can use one file for both. If you prefer this method, you can still use our device import template, but you will have to make some modifications to it. For example, if you want to import some devices to a building and some devices to a panel using the same document, you need two separate work sheets in your file:

1. In the template document, right-click on the name of the work sheet, in the bottom left corner (ours is called ‘Device Import’).
    
2. Select the ‘Move or Copy…’ option.
    
    
3. Tick the ‘Create a copy’ checkbox in the pop up modal.
    
   
    
4. Once you have the correct amount of sheets, make sure to right-click on each one to rename them. The name of the sheet doesn’t matter in the import process, it’s just there to help you identify which devices are listed in which sheet.
    
5. When uploading the document in Xaap, our Import Wizard will only import the first sheet in your document. This means that you have to make sure to drag and drop the relevant sheet into the first position in your document every time you upload to a different import destination.
    
   

When you’re happy with the amount of documents or sheets you have created, go ahead and populate them with your device data!

The Import Process

Once your import document is ready, the actual import process is simple:

1. If you haven’t already, log into the Xaap Inspections web application and select your account.

2. Select the customer you want to import devices to and click ‘Manage’.

3. In the Account Organization panel on the left, select the building you want to add your devices to. (If you haven’t created a building yet, go ahead an add your first one. You can read more about the structure and hierarchy of your assets here.
   -> If you are importing devices to a parent device, for example a panel, click on it in the device list of your building and you will get to the device overview. The import process is the same in both scenarios.

4. Click the ‘Import’ button to get to our Import Wizard.

5. Upload your import document and select whether you are importing devices of a single device type or multiple types. (If you are using multiple sheets in your document, make sure the correct one is listed first!)
   • If you are importing a single type, make sure you select the type of item (device) you are importing.
   • If you are importing multiple device types, make sure you select the column of the import document where you specify the device type.
      
     -> If your file has a header row – if you are using our template, it does! – make sure to tick the checkbox, as this will help you identify the information contained in each column throughout the import process, by using the header labels in the document.

6. Click ‘Next’.
    
7. Review the imported device types. We try to map your devices to the closest device type in our system, but in case we got one wrong, you can change it during this step.

8. Map the fields in your CSV file to the attributes needed for each device type and click ‘Next’.

9. Once the import process in done, you can click ‘Finish’. You will find all your imported devices in the device list of your building (or your parent device)!
